License Contracts - Capturing Entitlements

In SAM, a license contract represents the commercial agreement (invoice, quote, or agreement), while an entitlement is the actual, quantifiable usage right derived from that contract.

 

Capturing entitlements means converting the purchased rights into structured, machine-readable data - including the exact product, license metric, quantity, validity period, and any special rights.

 

Raynet One treats this as a foundational process: only when entitlements are accurately captured can the system perform reliable automated reconciliation against discovered installations, calculate the ELP, generate compliance reports, and deliver meaningful optimization recommendations.

 

When you create or update a license contract, Raynet One automatically generates related events in the Calendar:

 

The Invoice date triggers a Contract Invoiced or New Purchase Event.

The License start date creates a Purchased Event for the entitlement.

The License end date generates a License Expiration Warning (shown on the final day).

Changes to License model or License metric influence the entitlement and may update existing events.

 

Updating an existing contract will also refresh the associated automatic events (e.g., Contract Invoiced or Purchased Renewal). Note that automatically generated events cannot be edited manually.

 

The subsection Adding a New License Contract describes the three supported methods (Manual Entry, Import from File, and Enter Text) to bring new contracts and their associated entitlements into the system. Each method balances speed, data quality, and flexibility while leveraging SAM AI for product recognition and metric mapping.

 

License Contracts Overview

Once license contracts have been created, they appear in the License contracts overview. The overview is organized into tabs that help users switch between different perspectives on the available license data.

 

The available tabs are:

 

All contracts: Shows the complete list of license contracts. This is also where users can start the Add license contract wizard by clicking Add in the toolbar.

Product suites: Shows product suites related to license contracts and entitlement data.

Products: Shows individual products related to license contracts and entitlement data.

 

These lists offer comprehensive filtering, search, and export functions. You can filter by name, invoice date, supplier, customer, products, and total costs.

Best practice:
Immediately after creating a new contract, open the contract details and check the Entitlements tab. This quick verification ensures that the products and license rights were correctly linked. Also review the Calendar to confirm that the automatic events (New Purchase, License Expiration Warning, etc.) were generated as expected.
